Choose the venue for the season you are in

Seattle rooms behave differently across the year. A waterfront terrace is spectacular in July and a liability in October. A warm interior room with good light carries a January dinner in a way a glass box does not.

I match the venue to the month first, then to the guest count, then to the budget.

  • Summer: waterfront, rooftops, and outdoor spaces with a real indoor twin
  • Fall and winter: warm interiors, controllable light, short walks from the car
  • Spring: flexible venues that can open up if the weather cooperates

Treat the guest list as a strategy document

Who sits next to whom does more work than any centerpiece. I map the conversations the client wants to happen and then build seating to make them likely rather than accidental.

Arrival order matters too. The person you want to feel important should not walk into an empty room or a full one.

Write a run of show with named owners

Every segment gets a start time, an owner, and a trigger for the next thing. Doors, first pour, welcome remarks, seating, program, close.

The purpose is not rigidity. It is that when something slips, one person adjusts and the room never notices.

Build the fallback before you need it

Every outdoor plan needs an indoor version of the same quality. Not a tent in a parking lot. A room the client would have been happy to book in the first place.

Handle the departure

Cars staged, coats organized, and a warm close before the evening drifts. Guests remember the last ten minutes, and so does the executive with an early flight.
